Erasmus Student Network Porto, as data controller, is responsible for the processing of your personal information. In this Privacy Policy, “ESN Porto”, “we” or “us” refers to such Erasmus Student Network Porto.

This Privacy Statement describes the ways in which we collect, hold and use information about individuals who register and make the ESNcard.

We invite you to carefully read this Privacy Policy, which sets out in which context we are processing your personal data and explains your rights and our obligations when doing so.

 

  1. What Personal Data do we use and for which purposes?

We collect the following personal information: name, phone number, e-mail, sex, place of origin, current residence, ID number, your university in Porto and your home university, and also to take pictures and record videos during our events.

We use this Personal Information to:

  • Provide you with communications, for such as our newsletters;

  • Conduct surveys or undertake research so that we can improve and develop to satisfy your needs;

  • Information collected through event sign-up forms is used to communicate to the participants any changes or possible problems regarding the event;

  • We use the information to keep a list of the payments and of the number of participants, and in members-only events to control that the participants are members of ESN Porto;

  • We use your personal information to arrange the insurance contract for the events of ESN you signed up;

  • We also share your information with other partners or sections members of ESN (who also compromise with RGPD - data protection law) when you signed up with us for their events;

  • Publish the pictures and videos on our website, Facebook, Youtube, Linkedin, Instagram and in our newsletters to promote ESN Porto;

  • Communicate our privacy notices and notify you of changes to them.

 

  1. Who has access to your Personal Data and to whom are they transferred?

We do not sell, trade or otherwise transfer to outside parties your personally identifiable information collected through our website, membership form or other forms.

Personal Data may be transferred to third parties who act for or on our behalf, for further processing in accordance with the purpose(s) for which the data were originally collected or may otherwise be lawfully processed, such as marketing, data management, or technical support. Nevertheless, before sharing that information we always collect their compromise to data protection law (RGPD). We include third party links on our website. These third party sites have separate and independent privacy policies. We therefore have no responsibility or liability for the content and activities of these linked sites. Nonetheless, we seek to protect the integrity of our site and welcome any feedback about these third party sites.

Also, Personal Data may be disclosed to a third party if we are required to do so because of an applicable law, court order or governmental regulation, or if such disclosure is otherwise necessary in support of any criminal or other legal investigation or proceeding here or abroad.

 

  1.  How do we protect your personal data?

To ensure the security and confidentiality of Personal Data that we collect online, we use protected data networks, Drupal, by industry standard firewall and password protection. While we are handling your Personal Data, we take measures reasonably designed to protect that information from loss, misuse, unauthorized access, disclosure, alteration or destruction and against other unlawful forms of processing.

 

  1. How long do we store personal data?

We will only retain your personal data for 24 months after the expired date of your ESNcard.

 

  1. What are your rights and how can you exercise them?

We will provide you with the ability to exercise the following rights under the conditions and within the limits set forth in the law:

If you wish to contact us regarding the use of your Personal Data or you want to object in whole or in part to the processing of your Personal Data; If you have provided consent, you may wish to withdraw consent. You may request to access your Personal Data as processed by us, to ask for correction, erasure or to request portability, where applicable, of your Personal data, i.e. that the personal data you have provided to us be returned to you or transferred to the person of your choice, in a structured, commonly used and machine-readable format, subject to your confidentiality obligations.
